Concierge Services We Offer:

  • Tenant Relations: We will act as the primary point of contact for all tenants 24/7 for repair or service-related concerns, including emergency response.
  • Contract Management: We will oversee and manage all service and maintenance contracts. This includes vetting vendors, drafting and negotiating contracts, ensuring compliance with terms, monitoring deadlines and obligations, managing renewals and amendments, and resolving any disputes or issues that arise during the contract term.
  • Documentation: We will track all requests and work orders through the customer portal, eHub. Each tenant and the CDA point of contact will be provided with individual eHub accounts for access and communication.
  • Repairs and Routine Maintenance: We will supervise repairs and routine maintenance to ensure the property remains in optimal condition and aligns with the CDA’s goals and vision.
  • Repair Evaluation: We will determine if repairs fall under the lease terms between CDA and tenants.
  • Service Coordination: We will coordinate with appropriate service providers for repairs. This includes obtaining quotes and lead times. If costs are below the thresholds set in the service agreement, CBM will proceed with the repair or service. For costs exceeding the threshold, CBM will report the proposed costs to CDA for approval before proceeding.
  • Workmanship Inspection: CBM will inspect the workmanship and confirm satisfactory completion after repairs or services are completed. Once verified, CBM will close the work ticket in eHub and report completion to CDA.
  • Property Monitoring: We will periodically inspect the property for improper use (e.g., illegal dumping, loitering, illegal activities) to ensure the premises are maintained properly and safely.
  • Service Level Agreements (SLAs): To be determined. SLAs will identify priority levels of repairs, issues, and project needs. Response times will be assigned. This will ensure that expectations are clear between both parties. Priority levels are set at High, Medium, and Low, with qualifiers to be determined.
  • Budget Adherence: CBM will work with the CDA administrator to operate within the confines of the budget given.
  • Reporting and Transparency: We will provide monthly customized inspections and reports to CDA. Inspections will report on the property’s condition, functionality, safety, and compliance. Reports will summarize the services delivered and the status of any ongoing projects.
